PDF vs Word: What’s the Difference?

PDF and Word (DOCX) are the two formats you meet in nearly every business document, and they solve opposite problems. PDF is a publication format — it locks a layout so everyone sees the same thing. Word is an authoring format — it stays editable so anyone can keep working on it.

Which one you pick depends on what the recipient of the document needs to do.

How they work

PDF (Portable Document Format) is a fixed-layout container. Every page is a precisely positioned canvas of text, vector graphics, and embedded images. The file you send is the file the recipient sees — at any screen size, on any device, in any reader. PDF was designed in 1993 by Adobe specifically to solve “everyone needs to see this the same way”.

DOCX (Office Open XML) is a structured text format. It represents the document as a tree of paragraphs, runs, styles, tables, and embedded objects. Word, LibreOffice, Pages, and Google Docs can all open, edit, and save the same file. The document is alive — a recipient can change a paragraph, add a section, or extract text.

When to choose PDF

  • You’re sending a final document — invoice, contract, report, certificate, ticket
  • The recipient must not edit it
  • The layout matters down to the millimetre (forms, multi-column reports)
  • You need a single file that works everywhere — every device, every OS, every browser
  • You need a print-ready file

When to choose Word (DOCX)

  • You’re sharing a draft the recipient will edit
  • The recipient needs to copy, modify, or extract text
  • Comments and track changes are required
  • The recipient doesn’t have your software, but you want them to be able to work on the document, not just view it
  • The document has lots of flowing text and references that should re-flow on different screens

What the difference means for technical work

PDF preserves visual position. A “page 3 paragraph 2” reference is meaningful because the page is fixed. Word preserves structure. A “section 2.3 heading” reference is meaningful because the structure is preserved through editing.

When you store a contract as PDF, you lock the formatting so any future viewer sees it the same way. When you store the same contract as DOCX, you preserve the ability to amend clauses without breaking the layout.

Tooling on this site

  • DOCX to PDF: convert a Word document into PDF when you’re ready to send it. The DOCX to PDF tool runs in the browser.
  • PDF to Text: extract the textual content from a PDF so you can paste it back into a Word document. PDF to Text.
  • Markdown to PDF: write content in Markdown and produce a print-ready PDF directly. Markdown to PDF.
